- Registration & Payment
- How do I register for the conference? Attendees must login or create a free Sched account to register for the event. Complete the registration form and pay for a ticket.
- What forms of payment do you accept? All payment is done via Stripe.
- Do you offer group or early-bird discounts? Everyone who registers before December 1st will receive a swag bag at the event. Registration is for one attendee only so we can collect meal and other pertinent information to serve you better.
- Can I get a refund if my plans change? No. All tickets are non-refundable, but it is possible to transfer a ticket to another person. If you wish to transfer your ticket to someone else, please get in touch with [email protected]. Please include your name, the event name, name of person receiving ticket, and their contact information.

- Will there be a virtual option? No. This year's event is in person only.
- Conference Logistics
- Where and when does the event take place? The event will take place Friday, January 9, 2026, at the Janice and Charles Drake Library at Oklahoma Wesleyan University (2201 Silver Lake Rd), Bartlesville, OK 74006. See Venue Map
- Will there be a symposium app or schedule I can download? Sched is an app that is accessible on your phone or computer. The event schedules will be posted at the event and printed on the back of your name badge. - Are meals or refreshments included with my ticket? Breakfast, morning snack, and lunch are included with all attendee ticket purchases. Water, tea, and coffee will be available throughout the day.
- Is parking available on-site? Yes, parking is available for free. It is suggested attendees park in the large parking lot located west of the Janice and Charles Drake Library. Event signs will guide participants to parking.
- Accessibility & Special Needs
- Is the venue accessible to wheelchairs or those with mobility issues? Yes. There is disabled parking nearby and an elevator within the building.
- Can I request special dietary accommodations? Yes, on the registration form, participants can chose between gluten free, regular, and vegetarian.
- Who should I contact for any additional accommodation requests? If you need additional support, please contact [email protected].
- Networking & Sessions
- How do I schedule or sign up for specific sessions? Once you have register for the event, please see the event schedule and select the breakout session you would be interested in attending. Sessions will be set in October before the event.
- Is there a networking lounge or reception? There will be opportunities during registration/breakfast, breaks, and lunch for attending to network with exhibitors and other attendees. Registration and breakfast will take place downstairs in the Drake Library, while the general sessions will be upstairs.
- Will I have access to session recordings or presentation slides afterward? TBD
Speakers
- Call for Proposals & Submission
- How do I apply to be a speaker? Follow this link: Poster Presenters apply here and Podium Presenters apply here. Please submit the application, a photo, abstract/breif description of your poster or presentation. All applications will be reviewed and selected applicants will be notified by November.
- What are the important deadlines? Speaker applications will be open from July 15 - September 15th. Speakers will receive a confirmation email by October 30th.
- How do you select which proposals get accepted? Submissions are reviewed by the symposium committee. Accepted speakers will receive an email with accepting them by October 30th. Only accepted speakers will be notified.
- Session Logistics
- How long are the speaking slots, and what format is expected? Each breakout session is approximately 50 minutes. Every session should be engaging and help participants grow in their professional knowledge.
- What audiovisual equipment will be provided? A computer, projector, clicker, and screen. Other equipment is available as needed.
- Promotions & Materials
- Can I distribute handouts or promotional materials? Handouts for events can be uploaded to be accessible to participants. Any potential conflicts of interest should be disclosed.
- Are there any branding guidelines for speaker materials? Not at this time.
- Post-Event Materials
- Will my presentation be recorded and shared? We are unable to provide recording or share the symposium sessions virtually at this time.
- Can I get attendee feedback from my session? Each session will be evaluated, and their specific results will be shared with the speaker of that session in Sched.

- Booth & Display
- What is the booth size and layout? Registration is for 2 representatives. Exhibitors will be provided with one table (6 ft x 3 ft ) and two chairs. Lunch is available for purchase. The organization logo will be featured on the event website and onscreen during the opening session. Attendees will receive a bingo card with the organization’s logo to encourage them to visit exhibitors. Full bingo cards can be entered for a drawing for a door prize.
- What setup and teardown times are permitted? Setup will be between 7:30-8:15 am. Event registration begins at 8:00 am. The event ends at 3:30 pm.
- Will electricity, Wi-Fi, or extra furniture be provided? Each table should have outlet access nearby, Wi-FI access is available in the building. No extra furniture beyond the table and 2 chairs is available.
- Can I bring my own display materials and equipment? Yes.
- Branding & Marketing
- How will my sponsorship be promoted before and during the event? Depending on the sponsorship level, it will be provided on the website and signage before and during the event. All sponsors' logos will be seen on screen during the opening comments and welcome.

- Payment & Deadlines
- What are the payment terms and methods? Exhibitors can select to pay online with a credit card or by invoice/check. All payments must be received by November 1st. The exhibitor booth/sponsor selection will not be reserved until payment is received.
- Is a deposit required to secure the sponsorship? Payment must be received to secure the exhibitor booth and sponsorship.
- Are there any deadlines for submitting artwork or promotional content? Yes, all payment and information should be received no later than November 1st. The earlier information is provided, the better.

- Are there dedicated sponsor-attendee connection opportunities? Yes, during registration, breaks, and meals times there is opportunities for attendees to browse exhibitor booths and connect.

- Where is the venue located? Janice and Charles Drake Library on campus at Oklahoma Wesleyan University (2201 Silver Lake Rd), Bartlesville, OK 74006.
- Is parking available and is it free or paid? Free parking is available near venue site. Enter the main entrance at OKWU sign and follow signage to event and parking area.

- Are there on-site dining options or nearby restaurants? Breakfast, snacks, and lunch are included in the ticket price for conference attendees. Exhibitors can choose to purchase a meal. Otherwise, local restaurants are within driving distance of the OKWU campus.

- What ticket categories are available (e.g., full conference, one-day passes)? General attendee tickets are available for this one-day continuing education event. All tickets are $50. Registering before December 1st will guarantee lunch and a swag bag.

- Payment & Confirmation
- How can I pay for my ticket? Log into Sched and purchase an online ticket following registration.
- When do I receive my registration confirmation or badge? Attendees should receive a registration confirmation within 24 hrs. Conference name tags will be provided at registration.
- What should I do if I haven’t received my confirmation email? Please check your junk or spam email folders first. If no confirmation email has been received, contact [email protected]. Please include your name and event name.
- Refunds & Transfers
- What is your refund policy? All purchases are final. Event tickets are nonrefundable. However, you may transfer your ticket to another person, but you must contact the event coordinator in writing by January 4.
- Can I transfer or resell my ticket if I can’t attend? You can transfer your ticket to another person by writing a request for a transfer. Please email [email protected]. Include your name, the event name, and contact information for the person who will be receiving the transferred ticket.
